How Much Is Your Old IT Equipment Worth?
Somewhere in your office there is probably a storeroom of retired laptops, spare monitors, an old server rack and a box of cables nobody has opened in years. Most companies treat it as clutter. It is also an asset, and it loses value every month it sits there.
So what is it actually worth? The honest answer is that it depends. The factors below decide the price, and knowing them helps you get a fair offer.
1. Type of equipment
Not all IT assets are valued equally. Enterprise servers, storage arrays and branded business laptops generally hold more value than consumer-grade desktops, older monitors or basic accessories. Networking gear from established brands, such as switches, firewalls and routers, often has a ready resale market. Items like keyboards and cables add little on their own but help in a bulk lot.
2. Brand and specifications
Within each category, the model matters. Processor generation, RAM, storage type (SSD or HDD) and brand all affect what a refurbished unit can sell for. A recent-generation business laptop with an SSD is worth far more than an older machine with minimal memory. For servers, the CPU, memory configuration and drive bays make a large difference.
3. Age
Technology depreciates quickly. Equipment that is two to four years old usually still has strong reuse potential, while very old hardware is more likely to be valued for its recyclable materials than for resale. The sooner you sell after a refresh, the better the return.
4. Condition
Working equipment in good physical shape earns the most. Cosmetic damage, missing parts or faulty components reduce the price. Even so, non-working equipment is rarely worthless, because parts and materials can still be recovered. Our post on selling damaged or non-working IT equipment explains this in detail.
5. Quantity
Volume helps. A bulk lot of 200 laptops from one location is more efficient to collect, test and process than ten units from ten places, so larger lots generally get better terms. If you have equipment across several branches, it is worth consolidating the pickup into one project.
6. Completeness and data status
Equipment with its original power adapters, rails, drives and accessories is worth more than stripped units. Whether storage drives are present also affects both valuation and handling, because data-bearing devices need secure data destruction before reuse or recycling.
7. Documentation and asset records
A clear inventory, with make, model, serial numbers and quantities per location, speeds up valuation and often leads to a more accurate offer. An unclear list usually means a more cautious quote.
Scrap value vs. resale value
Every device has two possible values. Resale value applies when the equipment can be tested, refurbished and reused. Scrap or material value applies when it can only be recycled for recoverable metals and components. Selling to a buyer who can refurbish gives you access to the higher resale value, instead of settling for scrap rates. For a deeper comparison, see IT Asset Buyback vs Scrap Disposal.
How to get the best value
- Don’t wait too long. Value drops with age, so dispose of equipment soon after a refresh or office move.
- Prepare a simple inventory. List types, models, quantities and locations.
- Group equipment into one lot. Bulk pickups get better terms than scattered small ones.
- Keep accessories together. Chargers, adapters and rails add value.
- Ask about documentation. Make sure you receive a pickup acknowledgement, an asset verification report, a data destruction confirmation and a recycling certificate, which you will need for audits and ESG reporting.
- Compare offers properly. The highest number isn’t always the best deal if it comes without data security or paperwork.
What happens after you request a valuation
At Best Tech Reformers, the process is straightforward.
